Case Study – Payroll Services

The Situation:

The client had been using a longtime payroll provider to issue paper checks on a regular basis to their employees and to pay contractors. Employees were getting paid regularly, but issues had come up. Some of the client’s employees had lost some of their paper checks in the past and had to have them replaced. There had also been a year where mistakes had been made with end of year tax reports that caused a problem with their tax filing. The payroll provider had taken care of it in the end, but it took time and caused some concern. The client felt as though the system was antiquated and that it was time to look at the options available.

The Need:

The client wanted a payroll solution that would be easier for them to manage, easier for their employees to get paid, and to be more reliable. They also wanted to be able to periodically check information themselves online rather than request information from the payroll provider. Finally, they wanted direct deposit as a standard option for their employees.

The Solution:

Brightleaf was able to provide the client with a payroll solution with an online platform that allowed them to view all of their employees and contractors, to see all payments that had been made as a whole and to each employee, and to confirm all tax payments had been filed as well. The system was integrated with their bank account as well as their accounting software to verify that both employees and tax agencies had been paid and that the funds had cleared the bank. They were also allowed more flexibility with their payment periods without incurring additional costs.

An additional benefit is that employees now had access to an online portal where they could made changes to their address, exemptions, banking information for direct deposits, and other information. The portal also gave employees a record of their paystubs and tax forms so they’d never have to request paper copies if they were lost.

Brightleaf worked with the managers of the company to walk them through the processes and help them understand how to integrate the new system into both their technology stack and their business processes.

The Outcome:

The shift from their previous payroll provider to the new service not only improved the functionality and features available as part of their payroll service, but it also decreased their costs in multiple ways. Their monthly payroll cost decreased slightly, but they also saw a decreased in their accounting costs as the information automatically populated in their software and removed steps that previous had to be done manually. Other benefits included fewer issues with onboarding new employees, increased reliability of the tax filings and payments getting submitted and paid on time, and no more fines to government agencies. The increased reliability also allowed management to focus on other issues as they greatly decreased having to act as an intermediary with the payroll provider.

The change to a new payroll service surpassed the expectations of the company managers and resulted in lower costs, greater productivity, more reliability, and fewer issues.
